Early-Stage AI SOPs

You got the business off the ground. I can help it fly.

Before: It flies because it had to, but accumulated improvisation has left a system nobody fully understands—or dares change when prolonged downtime is not an option.

Young businesses rarely begin with carefully designed operations. They begin with resourceful people doing whatever is necessary to move forward.

That improvisation is a strength. It gets the business airborne.

But as the company grows, important work becomes distributed across people’s memories, documents, inboxes, spreadsheets, and AI conversations. The same task is performed differently each time. Decisions return to the founder. New team members struggle to understand how things really work.

I help turn that accumulated ingenuity into an operating system the business can rely on.

What I do

I help businesses understand, document, improve, and selectively automate how work gets done.

The foundation is a set of practical standard operating procedures—SOPs—that describe more than a sequence of steps. A useful SOP makes responsibilities, decisions, inputs, outputs, exceptions, and escalation paths explicit.

AI can then support the people carrying out that work without obscuring who remains responsible for the outcome.

That can mean:

  • Mapping recurring processes and decision points
  • Identifying founder bottlenecks and fragile dependencies
  • Turning tacit knowledge into usable SOPs
  • Clarifying ownership, handoffs, approvals, and escalation
  • Designing AI assistants around specific operational roles
  • Automating repetitive preparation and coordination
  • Keeping consequential decisions under human control
  • Establishing feedback loops so operations improve over time

The goal is not to make the business robotic. It is to give people clearer systems through which they can do their best work.

SOPs that people actually use

Traditional SOPs often become static documents: carefully written, rarely consulted, and increasingly disconnected from reality.

I approach them as living operational tools.

Each procedure should make clear:

  • What triggers the work
  • Who owns the outcome
  • What information is required
  • Which steps are deterministic
  • Where judgment is necessary
  • How AI may assist
  • What needs human approval
  • How exceptions and failures are handled
  • What evidence shows that the process worked
  • When the procedure should be reviewed

This makes an SOP useful both to the person performing the work and to any automation supporting them.

How an engagement works

1. Observe how the business actually flies

I begin with real work rather than an idealized process diagram.

I speak with the people involved, follow representative cases, and examine the tools and information they use. Working with your team, I identify where work slows down, becomes inconsistent, or depends too heavily on one person.

2. Establish the flight plan

I work with you to define the intended outcome, ownership, decision boundaries, and necessary controls for each priority process.

Not everything needs to be standardized. Not everything should be automated. The aim is to introduce structure where it creates confidence and leverage.

3. Create and test the SOPs

I translate the working process into concise, actionable procedures and test them against real situations.

Edge cases, missing information, exceptions, and escalation paths are treated as part of the process—not as inconvenient details to be discovered later.

4. Introduce AI copilots

Where appropriate, I use AI to prepare information, retrieve knowledge, draft outputs, coordinate steps, or identify situations requiring attention.

The AI operates within an explicit role. People remain responsible for consequential decisions and can understand how an output was produced.

5. Build a continuous improvement loop

Operations change as the business learns.

I establish lightweight ownership and review practices so SOPs evolve alongside the company instead of becoming a forgotten manual.

Typical areas of application

AI Business Operations can support:

  • Lead qualification and sales preparation
  • Client onboarding and service delivery
  • Research and decision preparation
  • Customer support and escalation
  • Content planning, production, and approval
  • Recruiting and team onboarding
  • Project intake and coordination
  • Recurring reporting and management reviews
  • Knowledge capture and internal handovers

If a process later requires deeper technical integration, it can naturally lead into an AI Workflow Automation engagement.

Why work with me?

I approach operations as both a founder and an engineer.

I understand why young companies improvise, why important processes remain inside people’s heads, and why premature bureaucracy can do more harm than good. I also know how to translate recurring work into explicit systems that are understandable, testable, and ready for appropriate automation.

My role is not to impose a generic operational playbook. It is to uncover what already makes the business work, strengthen it, and reduce the unnecessary effort and uncertainty surrounding it.

Is this for you?

This offering is a good fit when:

  • Too many decisions still return to the founder
  • Important work depends on individual memory
  • Different people perform the same process differently
  • New team members take too long to become effective
  • AI tools are being used without a shared operating model
  • Existing process documentation is outdated or ignored
  • The business is preparing to grow, delegate, or automate
  • Recurring mistakes reveal that responsibilities or handoffs are unclear

You already built the machine and got it off the ground.

I can help make it airworthy—and keep the business flying.
